Job Description

The University of Miami/UHealth Department of Physical Therapy is currently seeking a temporary Sr. Clinic Assistant to work in Coral Gables, FL. The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections. Core job functions include explaining HIPPA to patients and obtaining signatures, submitting signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports, tracking pending records to ensure delivery prior to clinic visits, communicating to the appropriate nurse coordinator if difficult or unable to obtain pertinent records, traveling within the facility and campus to retrieve records, films, or CDs, collecting and preparing specimens, maintaining accurate clinical records per hospital policy while preserving confidentiality of patient information, assembling, completing, and processing patients’ charts, assisting with ordering, receiving, distributing, sorting, and storing supplies, reporting suspicious or unusual incidents to appropriate supervisory personnel, assisting with clerical duties including receiving phone calls, sending faxes and emails, and scanning and copying documents, and adhering to University and unit-level policies and procedures and safeguarding University assets. Additional department-specific functions include monitoring the UChart scheduling system for satellite clinics, performing data entry into research databases, assisting in recruiting subjects for clinical research, coordinating volunteer placements, providing relief coverage at various satellites, assisting registrars with patient insurance verification and authorization, establishing and updating training manuals, serving as a trainer for departmental orientation, keeping satellite staff updated with Joint Commission standards, coordinating specialty events related to community service, recruiting volunteers, and performing all other essential duties of a clinic assistant. Qualifications include a high school diploma or equivalent (some college preferred), minimum 3 years of relevant experience, good verbal and written communication skills, good interpersonal skills, bilingual English & Spanish preferred, skill in completing assignments accurately, ability to analyze, organize and prioritize work under pressure, ability to handle confidential information with discretion, ability to work evenings, nights, and weekends as necessary, commitment to the University’s core values, and ability to work independently or collaboratively. The position is temporary and part-time.
