Job Title: Accounts Payable Supervisor

Department: Finance / Accounting
Reports To: AR/AP Manager
Location: Williamsburg, VA (Onsite/Hybrid Remote)
FLSA Status: Exempt

Position Summary

The Accounts Payable Supervisor oversees daily operations of the accounts payable function, ensuring timely and accurate processing of invoices, expense reports, and vendor payments. This role will lead a small team, drive process improvements, and maintain compliance with internal controls and company policies.

Key Responsibilities

• Supervise the day-to-day accounts payable operations, including invoice entry, approvals, and payments
• Review and approve payment runs (ACH, wires, checks) ensuring accuracy and timeliness
• Monitor aging reports and resolve invoice/payment discrepancies
• Maintain vendor records, onboarding, and W-9 documentation
• Ensure compliance with company policies, SOX/internal controls, and audit requirements
• Support month-end close activities related to AP, including accruals and reconciliations
• Partner with Procurement, Accounting, and other departments to improve AP workflows
• Train, coach, and manage AP team members, setting performance goals and conducting reviews
• Assist with system implementations or upgrades related to AP processes

Qualifications

• 4+ years of accounts payable experience, including 1–2 years in a supervisory or lead role
• Strong knowledge of accounting principles related to AP
• Experience with ERP systems (e.g. NetSuite, SAP, Oracle, or similar); Strong Excel skills, Google sheets experience
• Excellent organizational and communication skills
• High attention to detail and accuracy

• Experience in a fast-paced or high-growth environment
• Familiarity with 1099 reporting and sales/use tax considerations preferred

Working Environment

• Onsite or hybrid (based on company policy) in an office environment adhering to all policies and practices of same
• May require extended hours during monthly, quarterly, or year-end close activities and/or audit periods
• Occasional travel may be required for team meetings or training
